FAQ

When Should I Book?

The time varies drastically depending on the day of the week and the month. Yes it is true that we usually have some days booked as far out as about 15 months, but that generally only occurs on a few Saturdays in the summer months.
Friday's and Saturday's in the summer tend to book first (approximately five to seven months out) but we often don't book the weekdays (Monday - Thursday) until three to four months out.
And don't forget about cancellations! We never know when a date might cancel, which is why we sometimes have an opening on a Saturday evening in June, only four months (or even less) out. Click here to check recent cancellations and special discounts. So, if you've heard that Heritage Gardens is booked months in advance, don't give up until you check, as the date you want might be open after all.

Why Doesn't Heritage Gardens Offer A Package?

We haven't seen a package that favors the customer and virtually all packages come with restrictions i.e. "up to 3 bridesmaid's bouquets (flowers in season)" or "these cakes to choose from" etc. Will you receive a fair credit for unused "package" items? Why not just tell you exactly what you are paying for each item ordered? And what price are you actually paying for the facility? If you want some help deciphering a package, give us a call or drop by. You may be surprised at what a little homework on package "deals" will reveal.

Who Pays For What?

There are some variations of the assumption of expenses, and as most etiquette books acknowledge, local customs sometimes vary from the traditional "Emily Post" or "Amy Vanderbilt" rules of etiquette.  Today the groom's family and/or the couple may offer to share the costs of the reception. If the groom's family would like to invite more guests or would prefer a more elaborate reception than the bride's family has planned, an offer of payment would be expected.

We suggest that the first step in planning a wedding is for the bride and her parents to discuss their hopes, dreams, expectations and finances for this important day. Next, the bride and/or her parents should discuss with the groom and his parents their ideas, feelings and especially finances. Communication in the early planning stages about these issues may prevent many disagreements and heartaches.

In Utah, the majority of the traditional guidelines still apply.

  • Honeymoon
*ALCOHOL
  • The serving of alcohol at weddings in Utah can be a sensitive issue. If the host or the bride's family is not comfortable serving alcohol but has agreed to allow alcohol to be served only because the groom and/or his family has requested it, common sense would suggest that the groom's family pay for the alcohol and related fees.

Who's party is it anyway?

We have heard many a bride exclaim in frustration, "It's my wedding!" Well, it is the bride's wedding. However, in our opinion the wedding reception is really the parents' party. More specifically, the bride's parents as they traditionally issue the invitations and host the event. The reception expenses are usually paid by the bride's parents, and generally the parents invite the majority of the guests.

A note to the Groom's parents: Let's face it, you are last on the list. Traditional etiquette does not even require your names to be included on the invitation. It probably isn't fair. You love your son and feel that you have a stake in the reception also. However, unless the bride's parents have accepted your offer to share the reception expenses, etiquette would imply that you basically be supportive and show up. In most cases, you should wait until asked to offer your suggestions. Don't make the planning uncomfortable by forcing your opinions on the bride and her parents.

A note to the Bride's parents: As mentioned, in our opinion it is your party, but we don't want to imply that you should not consider the bride's wishes or the groom and his parents' ideas as we also believe that feelings are often more important than etiquette.

THINGS TO CONSIDER
Conte

The following “Things to consider” is the result of over 30 years of experience with weddings and receptions. We believe that the more informed you are, the less chance there is of encountering problems. Yes, Heritage Gardens is a business, but even so, we feel a very real responsibility to help make your wedding day absolutely perfect.

Heritage Gardens is a full service facility offering catering, bar service, invitations, wedding cakes and flowers. Although it is required that the catering/bar service be provided by Heritage Gardens, it might be to your advantage to allow us to also provide the cake, flowers and invitations. Among other things it makes planning more convenient and often saves considerable time and travel.

WEDDING CAKES AND FLOWERS: When Heritage Gardens provides the cake and the flowers there is no delivery time or location for you to coordinate. Your contract guarantees the building at a specific time (for evening events, usually 4:00 p.m.). The same time applies to who ever delivers your cake or flowers. We often book daytime functions, which makes it impossible for us to accept cakes or flowers before the time agreed upon. Also, as per your contract, you agree to pay $100 per hour should you or anyone with whom you contract with, arrive before the specified time. (This fee is an incentive to prevent you or your florist / baker from interrupting an event such as a ceremony earlier the same day as your reception.) On dates when there is not an earlier function, we schedule photo shoots, maintenance, repairs and the building is still available to prospective customers for their perusal until your contracted time. Children that occasionally accompany prospective customers love to touch freshly decorated wedding cakes and play with the flowers that have been left here for the evening reception. Heritage Gardens does not accept responsibility for cakes, flowers, or anything else delivered before the contracted time as indicated on your deposit contract, although in the interest of customer service and convenience to the wedding party, a Heritage Gardens employee may accept a delivery before the agreed time. Another fairly common problem arises when your florist arrives before you do and simply drops the cake flowers or buffet table flowers in a bucket then leaves. This almost always comes as a surprise to the wedding party. We can’t emphasize enough, our concern that you or anyone you contract with, doesn't intrude on an earlier function such as a ceremony. If you are going to use another baker or florist, please explain that Heritage Gardens can not allow delivery earlier than the time indicated in your contract and that you have agreed to pay $100 per hour should they arrive early. When you are one of several deliveries, your delivery time may be impossible for them to guarantee. There is not much room for error, because if the delivery is early there may be problems or additional fees as described above and if it is late, it can delay the reception or ceremony, in addition to the considerable stress of not knowing when the provider will arrive. If you are considering taking on the task of providing the cake, flowers or decorating yourself, please be realistic about the time you will require, the building availability and the fact that you will probably be needed for pictures and/or other details. Even if you are a super hero, will the stress be worth it?

INVITATIONS: There are several things to bear in mind before ordering your invitations through another printer. The time needed for and in-between the rehearsal, ceremony, photographs and the reception must be considered. The number of guests invited will have an impact on the times involved. Have you invited everyone to the ceremony when the chapel only seats 75? Have you invited 300 guests to all arrive at seven o’clock when you really want them to spread themselves out over two or three hours? Will two hours be long enough for you to greet the number of guests invited, or will two hours just assure that your guests wait in line longer than necessary? We don’t require that you be an exceptional proofreader (except for the names, as names often have unique spellings). We take responsibility for the rest of the spelling and of course we’ll help you with etiquette on the wording. Most of the invitations that we offer require the normal amount of postage. We recommend, however, that you check with your post office for postage requirements. Sometimes the slightest increase in weight or size may require extra postage.

DECORATIONS, PROPS, STAGES, PIANOS, BUILDING SET UP, ETC: Included in the planning of your wedding/reception will be the building set up. This usually occurs by walking thru the building with our coordinator. At this time the building set up will be noted. Problems often arise when your florist/decorator is not involved at this meeting. On the day of the reception, occasionally florists/decorators arrive with different ideas. Heritage Gardens is placed in an awkward position when the florist/decorator either asks us to change the set up or proceeds to change it without our knowledge (or help) which can result in additional charges should he/she damage any decorations or other property. Sometimes the new set up does not accommodate the reception well, or results in hurt feelings should the bride not agree. We ask that our permanent decorations including centerpieces, not be removed or altered without permission. (Your ribbons/bows around the centerpiece vases are welcome and if you desire, our florists or hostess will place them.) Unless other arrangements are agreed to by Heritage Gardens on your deposit contract, anything brought into the facility must be removed that evening as the building is cleaned and set up for the next function during the night. Depending on the time of our next function we may be able to work out a pick up time for the next day, but it is possible that expensive items may be stored outside, unprotected from theft and the weather (as per your deposit contract) if other arrangements have not been agreed to by Heritage Gardens.

CANDLES: Due to local fire codes (no open flames) and concern for damage, candles are not permitted without prior authorization. Unity candles for the ceremony are permitted.

LUNCHEONS: A verbal suggestion to the coordinator that you might want to have the luncheon earlier that same day will not guarantee that the time will be available. Luncheons require a separate deposit and contract.

TUXEDOS: Insist that everyone that will be wearing a tuxedo try it on at the tuxedo store when they pick it up. Any problems can easily be remedied then. Waiting until 30 minutes before the ceremony/reception (as guys often do) to try on the tux for the first time is like asking for trouble!

PHOTOGRAPHY: Photographs are an important part of your wedding. Your photos will capture cherished moments of the wedding day and help rekindle memories for years to come. We suggest that in searching for your wedding photographer you consider more than just the quality of his/her work: Consider also the compatibility of your personalities. A good photographer will capture the important aspects of your wedding without controlling the event. If your photographer recommends a schedule you are not comfortable with, don’t be eager to agree without first understanding the reason. Is he/she trying to make the reception run smoother for you, or just easier for them? Any photographer will need time to pose and shoot the wedding party as well as the wedding couple (usually at least an hour). Be sure to plan enough time for the photographer to comfortably take all the photographs you would like, taking into consideration the fact that schedules tend to run a little late. When scheduling your photographer, also take into account building availability, time to dress and the start time of the ceremony and/or reception. We feel that the hotographers/videographer we recommend are sensitive to all the important aspects of the wedding day, not just the photos.
P.S. If guests are going to be present during the taking of photographs following the ceremony, be sure they are made comfortable. If the main buffet or dinner is not scheduled to serve until later, it is a good idea to provide light appetizers and/or bar service during this time.)

BACKGROUND MUSIC: Heritage Gardens will provide background music (CD’s) through the building sound system if desired. A baby grand piano is available upstairs on the landing. The piano cannot be moved to the main floor. (It’s less expensive to rent a piano for the evening.) We can recommend some musicians/bands or DJ’s, however their fees are your responsibility and will not be included on your Heritage Gardens bill.

CEREMONY REHEARSALS: Generally rehearsals cannot take place during the evening (i.e. the night before the ceremony), as most evening dates are booked for receptions. Often a rehearsal dinner will be held the evening before the wedding, even if the rehearsal is not. We propose that the rehearsal take place approximately two hours before the ceremony. (Most rehearsals take less than a half an hour.) If the bride does not want to see the groom on the wedding day before the ceremony, we suggest that the bride arrive a few minutes before the groom and meet with our coordinator to work out the details of the procession. The bride can then relax in her dressing room while we rehearse with the rest of the wedding party.
One of the advantages of having the rehearsal just before the ceremony is that all the key people arrive for the rehearsal and then generally stay for the ceremony, which eliminates the possibility of having to wait for members of the wedding party who may be in rush hour traffic or just running late. Also, having just rehearsed, instructions are not as readily forgotten which is especially helpful when children are involved. (Our coordinator will be at the ceremony to prompt the participants regardless of when the rehearsal took place, however.) Other times may be available for the rehearsal, generally in the mornings or early afternoons. There is a $50 charge for rehearsals before or after regular office hours (Mon-Sat 10:00 a.m. to 4:00 p.m.). Rehearsal times other than during the time provided in the deposit contract are subject to change until two weeks before the rehearsal.

Heritage Gardens will provide the ceremony music (CD’s) and microphone if desired. We have an ample selection of traditional wedding and classical music. You may, of course, provide your own music. There is a baby grand piano available upstairs, on the landing, however you are responsible to provide musicians. The piano cannot be moved to the main floor. As ministers/judges and performers rarely attend rehearsals, you might want to ask them in advance if a microphone is preferred so we can have it ready and sound tested before your guests arrive. For a chapel ceremony, a microphone is usually not necessary, but some judges/ministers and performers are more comfortable using one anyway. For a garden / reception room ceremony, we will have a cordless microphone ready, sound tested and adjusted.

If you actually read this far, congratulations! You have increased the odds of having a trouble free wedding/reception.
